Privacy policy

Effective . This policy explains what we collect through this website, why, how long we keep it, and the choices you have.

Who we are

CW Books & Tax provides personal tax return preparation, tax planning, GST/HST filing, corporate T2 returns and notice-to-reader financial statements, and bookkeeping services. Our privacy contact is cwbooks.tax@gmail.com.

What we collect on this website

  • Information you type into a form: name, phone number, email address, the service you are asking about, how you heard about us, and any optional note you add.
  • Consent record: the fact and time of your consent to be contacted, and the source form.
  • Where you came from: with each form we also store the campaign or ad you arrived from, the page you landed on, the site that referred you and which version of this website you saw, so we can tell which marketing works. No other personal information is added to this record.
  • Technical data: pages visited, approximate location derived from IP, browser/device type, and referral source — collected through analytics and advertising tools if they are enabled.

We do not collect Social Insurance Numbers, tax slips, bank details or CRA credentials through this website. Client documents are requested later through a secure upload method, after the engagement scope is confirmed.

Why we collect it

  • To respond to your request, prepare a quote and book a call.
  • To provide the services you engage us for, and to meet legal, professional and CRA record-keeping obligations.
  • With your consent, to send service reminders and occasional marketing emails or texts. You can unsubscribe at any time.
  • To understand which pages and ads bring visitors, so we can improve them.

Consent (CASL)

We send commercial electronic messages only with consent, as required by Canada’s Anti-Spam Legislation. The form on this site records your consent to be contacted about your request (a required checkbox, with date and source). Follow-up about that request relies on that consent and on CASL’s implied-consent window after an inquiry; any marketing beyond that is sent only where you have asked for it. Consent records are retained and can be withdrawn at any time by replying to a message, using the unsubscribe link, or contacting cwbooks.tax@gmail.com. Where consent is implied by an existing business relationship, we rely on the timelines permitted by CASL.

Cookies, analytics and advertising

This site may use Google Analytics 4, the Meta Pixel and similar measurement tools. These tools set cookies and collect identifiers, device information and usage data, and may process data outside Canada. They are used for measurement and, where permitted, advertising. You can block cookies in your browser and use the tools provided by Google and Meta to limit ad personalization. If you submit a form, the advertising platforms may receive a conversion event (not your form contents beyond standard analytics parameters).

Service providers

We use service providers for hosting (Netlify), email delivery, scheduling, customer relationship management, online advertising and document exchange. They process data on our behalf under contracts that include confidentiality and security obligations. We do not sell personal information.

Retention

Lead and inquiry records are kept for up to 24 months from the last contact unless you ask us to delete them sooner or a longer period is required for a legal or professional obligation. Tax and accounting records for engaged clients are retained as required by law and professional standards.

Security

We use encrypted connections, access controls, multi-factor authentication on accounts, and secure document exchange. No system is perfectly secure; if a breach involving personal information creates a real risk of significant harm, we will report it as required by PIPEDA and notify affected individuals.

Your rights

Under PIPEDA you may ask to access the personal information we hold about you, ask how it has been used and to whom it has been disclosed, request correction of inaccuracies, and withdraw consent (subject to legal and contractual restrictions). Contact cwbooks.tax@gmail.com. If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada.

Changes

We may update this policy from time to time. The effective date above will change and material updates will be noted on this page.
